How to take off quantities from a PDF: a UK estimator's guide

The short version: open the drawing as a PDF, set the scale so the software knows how many millimetres a pixel represents, then measure the lengths, areas and counts you need straight on the page. Group them by finish and by zone as you go, and export the totals as a Bill of Quantities you can price. Done well, the measuring is the only part that needs your judgement; the adding up, formatting and keying in should look after themselves.

This guide walks through the process the way a UK estimator actually works, from a set of architects' and engineers' drawings to a priced-ready NRM2 Bill of Quantities.

What "taking off from a PDF" means

A takeoff (or quantity take-off) is the measured schedule of everything a job contains: metres of skirting, square metres of floor finish, the number of doors, and so on. Traditionally this was scaled by hand off paper drawings. Today most drawings arrive as PDFs, so the takeoff happens on screen: you measure directly on the PDF and the software keeps a running total.

Step 1: Set the scale

Before any measurement means anything, the software has to know the drawing's scale. The usual approach is to draw a line along something of known length (a stated dimension, or a grid spacing) and type in the real-world value. Everything you measure after that converts to real units automatically.

Two things to watch: confirm the scale against more than one known dimension, and be careful with drawings that were rescaled to fit a different paper size, because a drawing issued "at A1" but printed to A3 will read at the wrong scale unless you correct for it.

Step 2: Measure lengths, areas and counts

With the scale set, you measure in three basic ways:

A wall finish is a special case worth noting: it is usually measured as a linear run multiplied by a height, not drawn as an area, so the run times the ceiling height (less any openings) gives the area.

Step 3: Organise by finish and by zone

Raw measurements are only useful if they are organised. Tag each measurement with the finish it belongs to (for example a floor finish code) and the zone or room it sits in. That way the same floor finish measured across ten rooms rolls up into one line, and you can still see the breakdown by room when you need to check it. Good zoning is what makes a takeoff auditable later.

Step 4: Produce the Bill of Quantities (NRM2)

In UK practice the measured quantities are usually presented as a Bill of Quantities, commonly structured to NRM2 (the RICS New Rules of Measurement for detailed measurement). The bill lists each item with its quantity, unit, a code and a description, ready for rates to be applied. Exported to a spreadsheet with live formulas, you drop your rates into the rate column and the totals update themselves.

It is also good practice to keep an annotated copy of each drawing showing what was measured, plus a register of the drawings used, so the takeoff can be checked and defended later.
